RLL GAME CANCELLATION POLICY

When a tornado watch/warning is in effect for the Rockford area, ALL games and practices at the RLL area fields are cancelled until those watches or warnings are lifted.  It does not matter that there may be no rain or lightening at the time.  Games and practices are cancelled.
 
Visible lightening from any RLL area field delays games/practices automatically.  Please get off of the fields immediately and take cover in a building or vehicle when you see lightening.  Your team/players may not retake the field until 15-30 minutes has elapsed since the last visible lightening strike.   If at this time, your scheduled game/practice time has elapsed, then your game/practice is cancelled by default.
 
If the lightening is accompanied by a severe thunderstorm and heavy rains, the fields must be reviewed by the coaches and/or field maintenance staff to ensure the fields are in a safe condition for players and coaches before players are allowed to retake the fields.
 
PRACTICES
 
For practices, we do not send out weather alerts for rainy weather.  It is up to the coach of the team to decide if they'd like to practice in the rain -- most don't hold practice in the rain.  But a few rain drops usually don't hurt either.  Watch for email communication from your coaches regarding practice cancellations.

If you have not heard from your coach, then practice is probably going to take place.
 
GAMES
 
Certain board members are responsible for making the call as to the cancellation of games due to weather.  When game cancellation is warranted, the cancellation will be communicated using the notification procedures below.
 
NOTIFICATION PROCEDURES

The RLL board has decided to use the website Rained Out to communicate notifications for weather related game updates.  You can sign up for text alerts and/or email alerts.  Text “ROCKFORD” to 84483 and receive alerts from Rockford Little League.  For email alerts, visit the Rained Out website.

Facebook and our website will also be updated at some point.  Once a game has been cancelled on the website, the website notification system will send out alerts via email and via text message (for those who have that option enabled) to all of those affected by the specific game that has been cancelled.  

At some point, our hotline (616.248.2400) will be updated as well, but that will probably lag behind the other notification options.  We also have an older text message service that for which some of you have signed-up.  This service will also be updated as well, but will also probably lag behind the social media notification methods.
 
I highly encourage ALL of you to sign up with Rained Out to get the fastest possible notification.  Sometimes you will not find out until you are already at the RLL complex that a game has been cancelled just due to the way the weather unfolds.  Keep in mind, that we try our best to keep you informed and to get you the information as fast as possible.


ADDITIONAL INFORMATION  (email from the board 4/11/13)

-We will try to have practices and games at all costs while keeping the players and coaches safe.

-We will go so far as to delay starts for games to get them played as make up games are very hard to schedule due to limited fields and a large amount of teams

-The soonest we will cancel week night practices would be around 4 to 430 p.m. this is because the board members who are making the decisions on cancellations are at their regular jobs and can't get out to fields before then

-The soonest we will cancel weekend practices will be around 8 to 815 a.m. and then depending on the weather we will go hour to hour

-Cancellations may apply to specific fields while others may be playable so pay close attention to league messages and your team's schedule

-Game cancellations won't be announced until around 515 or even 530pm at the soonest on weeknights, again we want to play all games, we may delay the start to get them in

-Some games may be cancelled after teams arrive, again we want to avoid cancellations, you paid to play so we want to do our best to make sure we play

-Saturday games are going to be an hour by hour situation, we will try to let you know as far in advance.  Sometimes we cancel morning games but can play the afternoon  games and vice/versa.

-We may NOT cancel practices, but your coach may elect to not practice, at that point, your coach will contact you.
 
***The board members and coaches are volunteers who work days, nights, weekends etc. so please wait to start contacting them until about 60-90 minutes before your start time at the soonest. With all of our league notification "bells and whistles" you may not need to contact them at all.  Coaches are typically alerted at the same time and in the same manner as the rest of the league.  
 
With the above in mind, what can you do to get cancellation information as soon as humanly possible?
-If you have a smart phone, use our RLL smart phone app, any cancellations will be posted to that
-If you have a cell phone, sign up for text alerts (this is the most efficient as we send the text alert right from the fields)
-If you have internet access, check the website home page starting at 4pm on weekdays and 815am on Saturdays
-If you don't have internet access then you aren't reading this, but, we have a cancellation hotline 616-248-2400 GAMES ONLY
-If all else fails you may call one of your coaches as they should already know who does not have internet access
